This Privacy Policy is published in compliance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023. It constitutes a legally binding electronic record.
Capablanca Chess School Private Limited (“Company”, “we”, “us”, “our”) respects the trust reposed in it by parents, guardians, and students. This Policy sets out the manner in which we collect, use, disclose, and safeguard personal information in the course of providing our Services.
1. Data Collected
We collect the following categories of data:
- Parent/Guardian Details: name, email address, phone number, address (optional), occupation.
- Student Details: name, date of birth, photograph, grade/class, school, and parent/guardian relationship.
- Usage Data: login IDs, activity logs, device/browser details, cookies, and IP addresses.
- Payments: transaction details (amount of payment, order ID, time).
However, the Company does not store credit/debit card or bank account numbers; all payments shall be processed exclusively through a payment aggregator that is PCI-DSS compliant. - Recordings: all online classes are recorded (see Section 2).
2. Recordings of Online Classes
- All sessions conducted online are recorded by default.
- Purpose: Recordings are provided to the permitted users upon request for review and revision, and are also retained for quality assurance and grievance redressal.
- Retention: Recordings are retained for a minimum of thirty (30) days and a maximum of Sixty (60) days, after which they are permanently deleted.
- Disclosure: Recordings shall not be disclosed to any third party except as mandated under law.
3. Use of Personal Data
Personal data is used for:
- enrollment and account management;
- conducting classes and tournaments;
- processing payments and issuing receipts;
- communication of schedules, updates, and support;
- compliance with applicable laws.
The Company reserves the right to obtain and retain photographs taken at events or such other activities conducted by the company for promotional, marketing and documentation purposes.
We hereby reserve the right to use the data to contact you from time to time, to provide you with the Services, important information, required notices and marketing promotions.
4. Student’s Data and Consent
Accounts may only be created by parents or legal guardians. By registering, the parent/guardian represents that he or she consents to the processing of the student’s data, including recordings, strictly for educational purposes.
5. Retention of Data
Parent and student data will be retained for the duration of active enrolment and thereafter for not less than three (3) years, or longer where legally required. Recordings are retained strictly in accordance with Section 2 above.
6. User Rights
Parents/guardians may review and correct their own and their child’s data. Requests for deletion of data cannot be entertained, except where specifically required under law.
7. Third-Party Services
In general, the third-party service providers engaged by the Company will collect, use, and disclose personal information only to the extent necessary for them to perform the services contracted for, such as payment processing, hosting, communication, or analytics.
Certain third-party service providers, such as payment gateways, have their own privacy policies governing the information that the Company is required to provide to them for transactions. We recommend that you read their privacy policies so that you understand how your personal information will be handled by these providers.
This website may contain hyperlinks or references to other websites, applications, or content not operated by us. Such links are provided solely for convenience and information. Once you leave the Company’s website or are redirected to a third-party website or application (for example, the payment gateway page or an external educational resource), you are no longer governed by this Privacy Policy or our Terms & Conditions, and any information you provide there will be subject to that third party’s privacy practices. The Company assumes no responsibility for the privacy standards or content of those external sites.
8. Security
The Company implements reasonable technical, organizational, and physical security measures. Financial data made available for payments made to the Company is processed and utilised by a payment aggregator that is compliant PCI-DSS standards.
